School Accommodation Policy 

1. Policy Statement

At GSIS, we are committed to ensuring that all School-provided accommodations are safe, well-maintained, and free from harassment, discrimination, violence, illicit substances, and misconduct. This policy complements other School policies.

Non-compliance: Any breach of this policy will invite disciplinary action, up to and including termination of employment and immediate removal from School-provided accommodation.

Acknowledgement: All employees are required to read, understand, and sign the School Accommodation Policy Undertaking at the time of joining.

2. Definition: School-Provided Accommodation

School-provided accommodation includes, but is not limited to:

  • Apartments within the school campus
  • Quarters in annexes and gardens
  • Girls’ Hostel block
  • Boys’ Hostel block
  • Any other residential accommodation provided by the School to employees

3. Accommodation Allotment & Grievances

  • Accommodation is allotted based on eligibility, seniority, and operational requirements.
  • Raising concerns about allotment is to be addressed only to the Head – HR.
  • Employees must not bypass this protocol or approach other staff, as disputes handled otherwise will not be entertained.

4. Personal Conduct

Employees must:

  • Treat all occupants with respect, dignity, and courtesy
  • Respect the privacy and rights of fellow residents

Strictly prohibited behaviors (may lead to immediate termination and eviction):

  • Violence, fighting, or intimidation
  • Harassment, including sexual harassment
  • Discrimination of any form
  • Verbal abuse, insults, threats, or psychological intimidation

5. Guests

  • Accommodation is for employees and immediate family only.
  • Guests/relatives may stay only with prior written approval from Head HR 
  • Guests must leave by 10:00 PM unless permission is granted.
  • Late-night or overnight guests without approval are prohibited.
  • Employees visiting other staff accommodation must return to their own residence before 10:00 PM.

6. Illicit Drugs

  • Possession, use, influence, sale, transfer, or attempted sale of illicit drugs is strictly prohibited.
  • Misuse of prescription medication is prohibited.
  • Violation will result in immediate termination and criminal proceedings.

7. Smoking and Alcohol Policy

GSIS is a 100% smoke-free and alcohol-free campus.

  • Smoking: Includes e-cigarettes and vaping devices; strictly prohibited.
  • Alcohol: Consumption, storage, or presence is prohibited anywhere on campus or in accommodation.

8. Maintenance and Cleanliness

  • Employees must maintain cleanliness and hygiene in their accommodation.
  • Garbage must be disposed of properly; common areas must be kept clean.
  • Report issues with electrical, plumbing, or furniture immediately and through the process followed by the school.
  • Employees are not permitted to arrange accommodation repairs independently; all maintenance is handled by the School.

9. Personal Property and Damages

  • The School is not responsible for personal property loss or damage.
  • Employees are responsible for any damage to School property; repair costs may be recovered from salary.
  • Serious or repeated damage may lead to disciplinary action or termination.

10. Pets

  • One pet per family is allowed only with prior approval 
  • Requirements: proof of vaccination, pet details, signed Accommodation and Pet Policy Undertaking, and a one-time non-refundable cleaning fee of ₹5,000.
  • Refer to the standalone Pet Policy for detailed conditions.

11. Pest Control

  • Residents must cooperate with scheduled pest control activities.

12. Weapons and Hazardous Materials

  • Weapons or hazardous items, including knives, explosives, pellet guns, paintball guns, etc., are strictly prohibited.

13. Electricity Usage

  • Use electricity responsibly: switch off lights/fans when not in use, minimize usage, report unnecessary outdoor lighting.
  • Consumption beyond free units will be charged per TANGEDCO tariff.

14. Wi-Fi Usage in Employee Accommodations

All employees residing in GSIS-provided accommodations are required to submit their personal modems or Wi-Fi devices to the IT department for configuration on the GSIS network. Once configured, employees will have free access to the GSIS Wi-Fi in their accommodations. Personal internet usage through external connections is discouraged to ensure network security and optimal performance.

15. Noise, Disturbance & Inappropriate Behavior

  • Loud noise, shouting, verbal altercations, gatherings causing nuisance, or disorderly behavior is strictly prohibited.
  • Quiet Hours: 10:00 PM – 6:00 AM.
  • Employees are responsible for their family members and visitors.
  • Visiting other annexes is allowed only until 9:00 PM.

16. Children and Motor Vehicles

  • Children are strictly prohibited from operating vehicles within campus or annexes.
  • Only Licenced adults may operate vehicles anywhere on the GSIS main campus or GSIS annexes

17. Occupancy, Dependents & Visitors

  • Family accommodation is limited to 4 occupants (employee, spouse, up to 2 dependent children).
  • Additional permanent dependents require written approval from Head of HR
  • Visitors must be registered in Zoho Visitor Management System.
  • Visitors are not allowed in shared accommodations.

18. Accommodation Reallocation

  • Accommodations may be temporarily or permanently reallocated due to maintenance, safety, or operational requirements.
  • Employees must cooperate and vacate within the stipulated timeline.

19. Maintenance Inspections & Security Deposit

  • Inspections: Twice yearly (December & May).
  • Security deposit: ₹2,000 per month for 24 months; refundable in the 25th month, after clearance and inspection.

20. Maintenance Reporting Protocol

  • All maintenance requests must be logged via Zoho Creator.
  • Direct contact with Campus Manager is allowed only for emergencies (fire, gas leak, flooding, electrical short circuit).

21. Security Access & Movement Control

  • Private vehicles, technicians, or service personnel require prior approval from Head – HR.
  • Movement of household items requires pre-notification and HR clearance.
  • Security personnel cannot authorize entry without HR approval.

22. Compliance & Accountability

  • Employees are fully responsible for family members and visitors.
  • Repeated or serious violations may lead to withdrawal of accommodation and termination of employment.

All employees must acknowledge this policy by signing the School Accommodation Policy Undertaking. Non-compliance will be treated as a serious breach, with consequences up to termination and eviction.

Confidentiality

  • This policy is a confidential document of GSIS.
  • No part may be reproduced or transmitted in any form, electronically or mechanically, without prior written permission from School Management.
  • Unauthorized reproduction or transmission may lead to civil or criminal liability.

 Amendments

The School reserves the right to modify, amend, or alter this policy, wholly or partially, at any time as deemed appropriate.
